PURPOSE OF THE ROLE The Payroll Delivery Specialist supports markets by performing operational tasks related to Payroll, Time and Attendance and Benefit processes. He or she will ensure fully compliance with PMI guidelines and Risk and Controls standards in order to guarantee accurate and timely employee remuneration through payroll. The payroll delivery specialist cooperates with other team members and partners outside the team in order to provide world class operational payroll services and excellent Employee Experience. YOUR DAY TO DAY • Regarding Payroll accuracy, timeliness, and compliance: Execute in accurate and timely manner in accordance with PMI Guidelines (Risks and Control, Legal, Data Privacy and IT Security requirements) weekly/monthly/yearly Payroll and Time & Attendance activities like: data consolidation and validation of data completeness and consistency, input to payroll system and payroll calculation, all necessary checks in compliance with SOX/chart of control as a base for payroll acceptance by management, corrections of errors though other teams (P&C, Finance, IT, payroll vendors), calculation of local bonuses, execution of extraordinary payroll cycles according to the market requirements (Vacations, Christmas bonus, special payments) and others. • Regarding Benefits- back-office activities: Execute administrative benefits tasks to ensure that employees are enrolled to benefits programs and benefits payments/deductions are properly reflected in payroll, identifying/reporting eligible population, and determining employee’s contribution based on defined principles. • Customer service: Answer employees and other function questions/requests engaging market representative or payroll vendor if needed. Ensure and maintain a solid relationship with public and private organizations in compliance with local regulations, as well as negotiate in conjunction with Manufacturing and the Union Committee the development, application, and continuous improvement of policies in accordance with the Collective Bargaining Agreement. • Relationship management/payroll vendor management: Ensure day-to-day cooperation with providers by responding to requests for information/clarification around processes affecting payroll and time management, resolution and solving of inconsistencies, addressing, and solving errors, etc. Agree with service provider on yearly PY calendar and communicate outcome to impacted teams: P&C, Finance, IT issuing POs for payroll & T&A service. In case of end-to-end payroll process our main customer is the market representative. • Management of changes/continuous improvements Propose/initiate change requests related to process and systems, test or validate result of tests performed by external vendors or IT to achieve base for approval of system changes, support impact assessment for local/global projects, execute projects tasks cooperating with other functions: IT, Risk Control, Finance, implement changes, updates or legal reforms that impact the payroll process. • Business continuity: Keep operational manuals up to date, provide input to periodically review and test Business Continuity Plans, serve as back-up for payrolls in scope of the team, on-board new team members/fulfill role of buddy. WHAT WE ARE LOOKING FOR • MA/BA in Human Resources, Finance or Business Administration • Advanced/Proficient in English is a MUST • between 2-5 years of experience in P&C or Finance, preferably in payroll • In-house model: ideally min 2-years’ experience in payroll • Payroll, T&A, benefits processing expertise • Understanding of local legislation, SOX/PMI chart of controls, data privacy and IT security principles • SAP • FFWD methodology • Customer centric mindset • Other foreign languages knowledge is an asset. • Success Factor • Negotiation, conflict resolution and continuous improvement.
