Your ‘day to day’ As a Manager Contract Management, you will be responsible for overseeing the entire contract lifecycle management process, from the outsourcing planning to the project contracting with third parties. You will coordinate the negotiations and risk assessments of vendor contracts and ensure alignment with the Life Sciences function's objectives and policies. You will also facilitate effective cross-functional collaboration with Procurement, Legal, Finance and Life Sciences sub-functions, and communicate clearly and professionally throughout the contract lifecycle. You will ensure compliance with corporate and functional policies, maintain good record management, provide timely contract metrics and reporting, and train and guide teams. You will also find opportunities for increasing efficiency and simplifying processes, informing procurement’s sourcing strategy and optimize the use of company resources. More specifically, you'll • Oversee the process of Contract Lifecycle Management (CLM) for Life Sciences and supplier relationships to ensure alignment with PMI principles and practices, ensuring comprehensive contract creation in line with PMI process and according to contract planning, timing and priorities. This involves contract preparation, creation, arranging meetings with Life Sciences team (program leaders, project managers and Subject Matter Experts), internal functions (such as legal, Intellectual Property, procurement, Information Security, Quality Assurance, PMI Global anti-corruption), tracking review and approval cycles and facilitating signatory collection using the Contract Lifecycle Management system, as well as storing and archiving the documents. • Proactively engaging with teams to assess and handle risks and solve problems promptly. Lead all parties involved in the contract and spearhead task forces and collaborative efforts on contract-related matters. Drive proactive planning of outsourcing needs, working with the procurement function and using data sources to create transparency and enable the prediction of peaks and critical needs to inform the sourcing strategy. • Work with Senior Leaders, Project Managers and Scientific Experts to collect comprehensive business requirements for different projects and initiatives. Coordinate and collaborate with Legal and Procurement departments to ensure contract terms and conditions properly cover all business needs and requirements for services and safeguard PMI as well as ensuring a smooth purchasing process in line with PMI principles and practices. • Make sure that all Purchase Orders match the signed contracts, planning and budget. Lead and ensure that transactional processes are carried out effectively. • Track, handle, report and constantly enhance metrics (e.g. contract life-cycle volume and time, Purchase Order life-cycle, supplier performance, ...). Implement innovative methodologies to assess performance, boost efficiency, streamline processes and assist decision making throughout the Life Sciences contract lifecycle. Use the data to regularly examine past data on volumes and types of contracts to forecast workload and involve senior leaders and teams. • Find opportunities to enhance the procedures and tools for handling contracts throughout their life-cycle and develop plans to implement changes with relevant parties. Comprehend the functional strategy and governance in order to anticipate and plan activities. • Keep detailed and accurate records and documentation (using suitable systems and tools) of contracts, negotiations and interactions with procurement/legal teams and suppliers. Use these records and other information to examine financial data and evaluate contract performance and propose/prepare amendments. • Be proactive in your actions, by finding out what the business needs from Life Sciences counterparts, possible suppliers and services from procurement, financial risks and opportunities with Finance, contract forms and templates from Legal, and leading ideation and sourcing activities to pursue these needs and opportunities, engaging the right people and considering risks and upcoming changes. Who we’re looking for • Bachelor’s / Master’s Degree or equivalent professional experience in Business Administration, Legal or a related field. • Minimum 10 years’ experience in Legal / Procurement in a global corporation in handling complex contracts, leading relationships with vendors & partners, and using Contract Lifecycle Management systems. Minimum 5 years’ experience in Business Administration, in operational planning and analysis, with excellent understanding of accounting principles and practices. Minimum 5 years’ experience in data analysis with excellent understanding of data visualization and analysis tools (e.g. excel, PowerBI or equivalent). • Deep understanding of contracts, contract governance, contractual language and the contract lifecycle. • Strong understanding and experience of supervising external scientific service provision organizations (e.g. contract research organizations) and on procurement principles and practices from large organizations. • Highly literate in financial and procurement management systems, ability to independently analyze data using databases or office/PowerBI tools. • Excellent understanding of business or services being outsourced. Ability to professionally engage with third parties and handle confidential information. • Excellent communication, collaboration, coordination, negotiation and interpersonal skills, ability to build relationships with department leaders and senior management. Excellent organizational and planning skills. Ability to work in a fast-paced, dynamic environment. Attention to detail, autonomous, talent for accuracy and precision, ideally with exposure to financial audit practices. Time management, ability to run multiple projects of different complexity and shifting deadlines. Critical thinking, analytical and synthetical thinking, and the ability to research and understand legal and financial implications. Sound reading, writing and language skills. • Fluent in English, both written and spoken.
